Privacy Policy

The purpose of this policy is to provide transparency related to the data that we collect and hold onto at HOEM Management Inc. (HOEM).

HOEM operates under the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s federal private-sector privacy law. Personal information includes any demographic, identifying, or financial information about any individual. More information on the law can be found here.

Why do we have to collect private information? We only collect information that is necessary for us to provide the services that we offer to prospective students, current residents, and our employees. Information that is not necessary for operations will be marked as optional and you will have the opportunity to choose if you’d like to provide it to us.

Operationally, any personal information is only accessible to those employees at HOEM who need it to perform the duties of their role. We limit access within systems depending on role, and only those who need to see particular information will have access. We won’t ever share your information with anyone for marketing purposes, and will only ever share a name and email address with our partners for the administration of services that you get as a perk of being a resident with us (think counselling services with Inkblot, for example).

In the event of a breach (which we will do everything in our power to prevent!), we will notify impacted individuals as soon as possible. Any responsive actions will correlate to the type of data that has been breached. Rest assured that we’ll do everything we can to ensure that any personal information that we hold onto is secure and kept as safe as possible.

Information from individuals who started bookings in our system, but did not stay with us will be kept for a period of two (2) years, and data related to individuals who did stay with us will be kept for a period of seven (7) years to comply with our record keeping obligations. Employment related personal data will also be kept for a period of seven (7) years, but SIN numbers and banking information will be deleted within two (2) weeks of the employee’s last day.
